Why do I need the UniGrazOnline account at all?
UniGrazOnline is the most important tool for students, employees and external persons who have a teaching assignment at the University of Graz. Without an active UGO account, students cannot register for exams and courses. There is also no access to Moodle, online exam system, e-mails and all other digital services - such as UniMeet - of the University of Graz.
Which accounts are affected by the password change?
For the following accounts, the password must be changed in UNIGRAZonline:
- Student accounts
- Staff accounts
- Other assignments
- external accounts
- Institute accounts (non-personalized e-mail accounts)
(probably) not affected:
- UB accounts
- Basic accounts
When do I change the password?
- It is best to set the password in the evening or when you do not need your account for a few hours (because the synchronization in the subsequent systems such as WLAN,VPN, e-mail, etc. sometimes needs a few hours time).
- Avoid sensitive times (e.g. a subsequent exam, urgent deadline, etc.).
How long should the password be?
The password must be at least 12 characters long. The maximum length is 20 characters.
Other criteria:
- Required
- at least 3 letters (upper and lower case letters are possible), at least 1 number, at least 1 special character
- must not contain: first names, last names, usernames, social security or matriculation numbers; trivial character strings such as qvalue, password, 1234; the characters @, &, # or apostrophes
- must differ from previous passwords by at least 3 characters
- must not be the same password as in another user group (students/staff).
- Recommendations
- Use of special characters !$%()*+,-./:=[]_{}.
- Special characters at the beginning of the password can cause difficulties in some systems and should therefore not be placed in this position.
- Also parts of first or family names should not be used.
- In general, no parts of words (more than three letters) should be used that can easily be found in (German or English) dictionaries.
How do I choose a good password?
Here are three ways to choose a strong password:
- Imagine a picture: Imagine a picture of a stork lying on a triangle and wearing a cap. It is best if these terms have nothing to do with each other. Put these terms together and you get: TriangleStorkCap.
- Memorize a sentence: Memorize a sentence that is as abstract as possible e.g. TheSuneatsPudding
- Elitespeak/Leetspeak (LS): Leetspeak is the process of replacing letters with similar symbols or numbers. Using the above examples, the following passwords are then created:

How do I remember my password?
You have several options to remember a password:
- Choose a password according to the suggestions in the section "strong password".
- Use a password safe such as Keepass
- Use a password card
Where do I have to change the password?
It is important that you change your new password in UNIGRAZonline. To do this, go to your business card in UNIGRAZonline and find Change Password under Services(see instructions) and set it everywhere where the old one is stored.
- All devices you have in use (PCs, notebooks, tablets, cell phones, etc.)
- Password managers ("credential manager" on Windows, keychain on Mac, div. password manager apps)
- WLAN
- Various syncs (e.g. calendar, Outlook, Apple Mail, Android Mail Apps..)
- Printer connections (especially important for Apple devices!)
- VPN
- ...

I recently changed my password recently. Do I have to reset my new password again?
Yes, the password must be reset in the time from 24 April to 7 May 2023. You have 14 days to do this. This also applies to accounts for which the password has only recently been reset. As of May 8 accessing the IT services will be significantly made easier.
What happens if I do not change the password?
You can only change the password yourself during the specified time period. If you do not change your password, you will no longer be able to access the IT services and will have to obtain a PIN code as you did at the beginning of your studies or when you started work.

I can no longer access my data?
If you have not reset your password within the specified time, you will no longer be able to access data or IT systems as of 8.5. You will have to issue or have issued a PIN code as you did at the beginning of your studies or start of your service. Once you have set a new password with the PIN, you will be able to access all your data again.

I am abroad - how do I set my password here?
If you installed MFA you can set your password via UNIGRAZonline as usual even when you are abroad (almost anywhere worldwide: This is not possible in the following countries: North Korea, China, Russia, Ukraine, Dominican Republic, Nigeria, Kenya.)
You can only change the password yourself during the specified period. If you do not change your password, you will no longer have access to IT services after this period and will have to issue a PIN code as you did at the beginning of your studies or when you started your service.

What do I have to do to regain access to my account?
If you missed the specified time period for changing your password, you will have no longer access to the IT services and must obtain a PIN code as you did at the beginning of your studies or when you started work.

When can I access all IT services again after changing my password?
It takes a few hours until the new password works in all systems (therefore it is best to change the password in the evening). In exceptional cases your account may be blocked: this is the case if you saved your old password somewhere. In this case the checklist will help you.
Do I need MFA for password change?
In any case please do install MFA beforehand. Multifactor authentication provides an additional security step and is required for access off-campus.
Does the new password replace the MFA?
No, the new password does not replace MFA. Multifactor authentication provides an additional security step and is required for access off-campus.
Is there anything I need to keep in mind with the APP for MFA?
No, no matter which app you are using - it can be used normally after changing the password (observing a corresponding sync time).
How do I change the password for an "external account"?
As an external person, open the address https://adfs.uni-graz.at/adfs/portal/updatepassword to change the password (VPN and MFA required).

What happens to accounts (leave of absence) that are not actively used?
A new password must also be set for these in the period from 24.04.2023 to 7.05.2023. You have 14 days to do this. Without a password change, you will no longer have access to IT services after that and will have to issue or have issued a PIN code as you did at the beginning of your studies or start of service. As of May 8, there will be significant simplifications in accessing IT services.
What facilitations are planned after the password change?
In recent weeks a lot of things were "difficult". As of May 8 accessing the IT services will be made easier, but some things will remain as they are for security reasons.
What will work or made easier?
- Fileservices will be available again throughout Austria
- eduFS (drive Z: for students)
- PFS (drive Z: for staff)
- GFS (drive Y: for staff)
- youni will be easier again
- MFA-hardware-tokens will be available if needed
- Services are running stable again (since the rebuild is finished)
What will remain?
- MFA remains
- Email via VPN must stay
- VPN for current services from outside must remain
Where can I get support if I no longer have access to the IT systems?
If you no longer have access to the IT services you must obtain a PIN code as you did at the beginning of your studies or when you started work.
