Overleaf at the University of Graz
1. General information
Overleaf is a cloud-based LaTeX editor from Digital Science UK Limited that supports the collaborative creation, editing and publication of documents. Thanks to its integrated version control and collaboration features, Overleaf is particularly well suited to academic and student projects.
As it is a web-based service, all users always work with the same, up-to-date version. To use it, you simply need:
an Overleaf account and
a modern web browser.
You can log in via the University of Graz’s standard solution, uniLOGIN (Single Sign-On). Here is the link to the Overleaf page for the University of Graz. You will find the login button with SSO at the bottom.
2. Important information regarding use
Please note that this is an external service provided by Digital Science UK Limited, which the University of Graz merely makes available. Data processing takes place outside the University of Graz’s infrastructure. Data is stored on servers belonging to the cloud service provider, which is based in the USA.
To minimise risks relating to data protection and information security, the following points must be observed:
Discuss the use of Overleaf in advance with (potential) project partners or funding bodies, as the data is processed outside the University of Graz.
Personal data within the meaning of Article 4(1) of the GDPR may only be processed if the data subjects have given their consent or if the processing is based on another permissible legal basis.
The processing (storage) of special categories of personal data as defined in Article 9 of the GDPR (e.g. health data, data relating to religious or political beliefs) is prohibited. Should such data be strictly necessary for scientific research purposes, please contact the University of Graz’s data protection team in advance at datenschutz@uni-graz.at.
Confidential and strictly confidential research data must not be uploaded to Overleaf. This includes information whose publication or loss could cause significant harm to the University of Graz.
Responsibility for compliance with these guidelines lies with the respective project or department management.

4. FAQs on the use of Overleaf
Access is granted via SSO using your University of Graz account. This is the only way to verify your affiliation with the University of Graz.
Staff members at the University of Graz receive an Overleaf Commons licence free of charge. In addition to the features of the Free licence, this allows you to:
A limited number of projects
A limited number of authors per document
Real-time collaboration with others
Track changes in real time
Full version history
Yes. All you need to do is add your university email address (vorname.nachname@uni-graz.at) to your Overleaf account and set it as your primary address. You can then log in via SSO and access all the features included in the University of Graz’s licence. You can find instructions on how to do this in the Overleaf guide ‘Joining an Overleaf Commons Subscription’.
Yes. Where necessary and legally permissible, projects can be shared directly with third parties or downloaded in various formats. You can find instructions on how to do this on the Overleaf website.
Personal data may only be processed with consent or on another lawful basis.
No processing of special categories of personal data (Article 9 GDPR).
No processing of confidential research data.
